As a member of the OU IT Services team, the Asset Management Lead
will participate in the development and deployment of a system
wide, comprehensive OU Information Technology Asset Management
(ITAM) plan. This role provides a unique growth opportunity to use
your experience, communication and problem-solving skills to shape
and lead a critical OU IT support function.
The Asset Management Lead will work with the Asset Management team
to develop and implement procedures for tracking and managing IT
assets owned, leased, operated, or managed by the University
throughout their lifecycles. The Asset Management team will drive
the governance of ITAM and leverage discovery processes to ensure
the most accurate controls are in place. The Lead creates,
maintains and tracks KPI's and identifies controls to measure team
effectiveness and adherence to policies and procedures and creates
reports to provide transparency. The candidate must have strong
communication skills with the ability to articulate problems,
solutions and actions through concise and clear messaging and have
demonstrated the ability to assess complex issues and structure
potential solutions to drive resolution with senior
stakeholders.
The Essential Job Duties of this Position are as Follows:
The Asset Management team lead will ensure asset management
activities are consistent throughout the organization and aligned
with the organizational strategic plan. The major tasks of this
role are:
- To build relationships with data source owners, discovering
integration strategies, developing and tracking Asset KPI's, and
meeting the goals and timeline provided in the OU ITAM plan
- To focus on continuing the overall asset management strategy,
continual improvement, and ensuring audit requirements are met
- To provide asset performance reporting and analysis to inform
business decisions related to asset lifecycle
- To work with the CMDB Librarian and Configuration Management
Specialist to ensure the CMDB and Configuration Items (CI's) are
accurately accounted for
- Process ownership for all ITAM processes with full
responsibility for executing the implementation of the OU IT Asset
Management Plan.
- Develop, promote, and maintain effective ITAM strategies,
policies, and practices across the full range of IT assets used
within the University, supporting the asset management lifecycle
from requisition through retirement.
- Developing and maintaining processes, policies, standards,
systems, and measurements that help the organization to effectively
manage the IT asset portfolio with regards to cost, control, risk,
compliance, business performance objectives, and IT Governance as
established by the University.
- Ensure that appropriate resources (people, tools, services) and
processes are in place to gather and analyze data relating to
technology asset life cycles and related processes.
- Research industry best practice and incorporate it with
organizational practices.
- Mature asset management programs through roadmap development
and execution.
- Ensure process efficiency by implementing the key performance
indicators and apply a continuous improvement approach in enhancing
the strategies employed in asset management ensuring the accurate
tracking of IT assets within the Configuration Management Database
(CMDB) throughout their lifecycle.
- Manage the everyday functions of the IT asset management team,
guiding team members in the daily administration of the asset
management activities.
- Maintain strong operational controls around ITAM ensuring
quality control throughout the lifecycle of all IT assets by
developing and implementing appropriate procedures to track and
manage them, maintaining 100 percent inventory accuracy.
- Coordinate with management to ensure that ITAM-related tools
and services are properly evaluated, selected, implemented,
configured, and maintained, with appropriate integration with other
sources of organizational data to analyze, review and track asset
data.
- Collaborate with all IT teams, ensuring they are aware of and
in compliance with their responsibilities for their ITAM data in
the CMDB.
- Align with Change management processes and those responsible
for life cycle management of their components.
- Collaborate with all IT teams to determine trends in asset
performance.
- Partner with stakeholders to support asset management processes
including full lifecycle asset management, compliance,
optimization, audit data requests and merger & acquisition
support.
- Develop and conduct training as needed for use by department
level staff to maintain inventor
- Establish Key Performance Indicators (KPIs) and metrics which
will subsequently be used to measure, review, and analyze the
effectiveness, efficiency, and maturity of the asset management
process.
- Collect and provide KPI/Metric information and standardized
reporting on a scheduled basis together with unscheduled reporting
requested by management.
- Ensure accurate and timely reporting, and that data
completeness and quality issues are quickly identified and
escalated to the responsible data or process owners.
- Ensure audit compliance for assets by conducting annual
inventory audit and develop process and procedures to ensure
accuracy. Participate in audit and regulatory reviews.
- Identify and report on breaches of ITAM policy and track
remedial action.
- Account for the IT assets throughout the enterprise by
utilizing tools and integrated software solutions that connect all
company departments involved with IT assets, including the
procurement, deployment, expense reporting, and management
departments.
- Serve as a support to other Services team and OU IT functions,
including participation in Services team meetings and larger OU IT
events.
- Take part in other ITSM processes, or as required perform as a
backup to maintain operational activities.

Required Education: Bachelor's degree, AND:
- 36 months of experience in an IT related field. Equivalency
Substitution: Will accept 48 months of experience in lieu of the
Bachelor's degree for a total of 84 months of related
experience.
